Ventilation system maintenance

Supply and extract units, filters and controls. The maintenance programme accounts for room use, the building’s operating hours and access to equipment.

  • Extract systems
  • Filters and controls

01 / Scope of work

Maintenance defined by the equipment

The activities below may form part of the programme. Specific tasks, intervals and materials are recorded in the agreement.

01

Preventive maintenance

Inspection of casings, fixings and connections. Filter checks, cleaning or agreed replacement. Servicing of accessible fan sections, heat exchangers, condensate trays and drains.

02

System operation checks

Operation of dampers and actuators, accessible sensors, setpoints and control system messages. Recording of unusual noise, vibration and signs of insufficient supply or extract airflow.

03

Diagnostics and repair

A defect list and an agreed repair scope. Replacement of agreed filters, drive components, sensors and assemblies. Functional checks after the fault has been addressed.

04

Work planned around the building

A list of units and zones covered. Access to ventilation plant rooms, the roof and components concealed above ceilings. An agreed shutdown schedule and technical reporting.

02 / Working process

From source information to a working plan

01

Establish the scope

Equipment, documentation, operating hours and access. A separate initial survey where necessary.

02

Agree the programme

Tasks, intervals, materials, shutdowns and responsibility boundaries.

03

Complete and document

Completed tasks, technical observations and next actions are reported to the person responsible for the facility.

What the client receives

Records of unit condition, completed operations and defects. A list of required consumables and next steps for the zones covered.

Agreed separately

Cleaning of extensive ductwork, airflow measurements, balancing and specialist testing require a separate programme. The supply of filters and consumables is agreed separately.

03 / Practical questions

Before maintenance begins

Will maintenance help if a room feels stuffy?

Filters, fans, dampers, settings or the system’s own capacity may be responsible. We start by checking accessible components. Any need for an air exchange assessment or a design change is identified separately.

Is cleaning all ductwork included?

No. The sections, access arrangements and method must first be defined. Cleaning extensive or hard-to-reach ductwork has a separate scope and cost.

Can ventilation and air conditioning be maintained together?

Yes. Scheduling and access arrangements can be combined. The scope and results for ventilation and air conditioning are still documented separately.

ESTIMATE

First, establish the technical picture

If the system condition and scope are not yet clear, start with a survey. A basic audit, extended diagnostics and regular maintenance are separate programmes.

The calculator provides an estimate, not a fixed offer. Contract minimums and individual assessment requirements still apply.

Discuss the scope of work

Equipment, documentation, operating hours and access. A separate initial survey where necessary.
